As a luxury wedding planner based in Upstate New York, I’ve seen it all when it comes to weddings—especially winter weddings. From dreamy snowy backdrops to navigating last-minute snowstorms, I’ve planned for every scenario, and trust me, no two weddings are ever the same. Winter weddings come with their own unique set of challenges and opportunities. It’s not just about picking a stunning venue or choosing cozy, seasonal décor. There’s a lot that happens behind the scenes to make these celebrations feel as magical as they look.

We’re talking about planning for unpredictable weather, making sure transportation runs smoothly even in icy conditions, accounting for seasonal limitations with florals, and coordinating with venues that might already be decked out in festive holiday décor. These are the details that often go unnoticed by guests but are absolutely essential to creating a seamless and unforgettable experience.  Today, I’m excited to share what really goes into pulling off a winter wedding—from the logistics to the design choices that make your big day feel uniquely yours, all while embracing the beauty of the season. With the right planning, those challenges can turn into opportunities for a smooth, stress-free celebration.

The Pros And Cons of Winter Weddings

So first, let’s kick things off with the good, the bad, and the chilly truths of winter weddings. One of the biggest perks is availability. Since winter is considered the off-season for weddings in most areas, you’re much more likely to secure your dream venue or book the vendors you’ve been eyeing without the fierce competition of peak wedding season which sometimes forces you to book a year or more in advance. And as a bonus, some venues and vendors offer discounts for winter dates. Not all of them, but it’s definitely worth asking because it could be a big budget saver.

Another thing I love about winter weddings is how unique they feel. While spring and summer weddings are beautiful, they can sometimes blend together when not designed intentionally. Winter weddings, on the other hand, stand out. They’re cozy, intimate, and memorable for both you and your guests.

Now, let’s talk about the challenges—because winter isn’t all hot cocoa and cozy fireplaces. First, there’s the obvious: it’s cold. In some places, it’s colder than others, like it’s definitely snowier in New York than in Southern California, but you’ll need to think about how to keep both yourself and your guests comfortable. Outdoor portraits might require wraps, fur capes, or even hand warmers. For guests, you may need to provide heaters, blankets, or plan everything indoors. Brides, please make sure your wedding party is comfortable during photos. Frozen wedding attendants is not fun AND it will show up in the photos. Not only do we recommend hand warmers in pockets or with bouquets, but we also like slipping them down the back of dresses.

 Weather & Transportation

The other big hurdle is the unpredictability of winter weather. Snowstorms, icy roads, and freezing rain can throw a wrench in even the best planning. You’ll need to have a transportation plan that allows extra time for delays. Tune into episode 170 for more of my thoughts on creating a wedding day timeline, but in the winter, if a drive that usually takes 20 minutes turns into 45, you want to be ready for that. Also, think about having shuttles available for guests or encouraging them to stay overnight at a nearby hotel.

Winter Wonderland

And while we’re on the topic of snow, let me just say this—don’t count on a snowy winter wonderland vibe unless you’re in a location where it’s guaranteed. Many couples imagine a perfect white backdrop for their photos, but depending on where you live, winter might just mean gray skies and barren trees. Instead of relying on snow, create the vibe you’re dreaming of with decor, lighting, and seasonal details that don't rely on the weather to cooperate. Think candles, greenery, and twinkling lights. That way, you’ll get the magical aesthetic no matter what the weather decides to do. Because we can't control Mother Nature!

New Years Eve

And while we’re on the subject, I can’t talk about winter weddings without mentioning New Year’s Eve, one of the most popular dates for winter weddings. I get it—it’s festive, it’s exciting, and it’s a great way to start the new year as newlyweds. But if you’re set on a New Year’s Eve wedding, here’s the deal: you need to book early. Venues and vendors will get snapped up quickly, so this isn’t a date you can leave until the last minute.

You may also pay a premium because your vendors are giving up their New Years Eve to celebrate with you. And its going to be a longer day for them! On top of that, New Year’s Eve might not be a fit for everyone on your guest list. Some people already have long-standing traditions, and while many will prioritize your wedding, some might opt out. I was actually at the salon today and the hairstylist told me she was invited to a NYE wedding and I asked her what she thought. And she said, Honestly, I wasn’t happy about having to go somewhere that night. So while it might be your vibe, it might not be everyone else’s.

With that said, if you love the idea of a New Year’s wedding, lean into it. Have a midnight champagne toast, hire a company to set off fireworks. (Just make if you do sparklers, fireworks, confetti or a ball drop it is allowed at your venue.) Remember you might need to pay extra because it's holiday. Alright, now that we’ve tackled the logistics of winter weddings, let’s move on to the part I know you’ve been waiting for—the design.

Winter Wedding Design

Okay, now that we’ve tackled logistics, let’s get to the part where your wedding vision truly comes to life—designing your winter wonderland (and no, I don’t mean turning it into a Hallmark Christmas movie… unless that’s your thing, in which case, go for it!). Winter weddings are the perfect opportunity to get creative with cozy, elegant touches that make your day unforgettable.

Christmas Decor

First, let’s chat about your venue. When you toured it back in the summer or fall, it probably looked exactly how you imagined—neutral, open, and ready for your dream design. But come winter, venues often roll out the holiday cheer: think garlands, wreaths, twinkling lights, and maybe even a 12-foot Christmas tree smack in the middle of the room.

Here’s the deal: if you love the holiday look, fantastic! You’ve just saved yourself a decorating bill. But if that’s not your vibe, ask your venue what their holiday decorating policies are BEFORE you book your venue. Can they scale back the décor? Or will your minimal, modern wedding vision have to compete with Santa’s workshop? These are things you’ll want to know early on to avoid any surprises.

Seasonal, Not Christmas-y Decor

Now, let’s talk about creating a winter feel without going full “deck the halls.” In my experience, candles are your best friend here. They add warmth, romance, and that gorgeous soft glow that makes every photo look like it belongs in a magazine. Pair them with lush greenery—pine, cedar, eucalyptus—and you’ll have a seasonal vibe that feels fresh and elegant. Bonus points if you incorporate cozy textures like velvet table runners, ribbon or faux fur accents.

Winter Wedding Color Palettes

On to color palettes! Winter weddings are the perfect excuse to go bold. Deep emerald greens with gold accents? Timeless. Burgundy paired with blush and ivory? So romantic. Icy blues and silvers? Modern and oh-so-chic. But here’s the thing—you don’t have to stick to traditional winter colors. If your heart is set on a different color palette, go ahead. It’s your wedding, not a seasonal catalog, so pick what speaks to you and what makes you happy!

Florals

Now, I know florals can be tricky in winter. Many flowers are out of season, which means they can be harder to source and more expensive. But don’t panic—we have options! Greenery can do a lot of heavy lifting here. Add some interesting elements like branches, berries, or even pinecones for texture, and you’ll have a stunning arrangement that doesn’t blow your budget. If you want flowers like Amarillo and obviously, white roses are beautiful. There's lots of different available options, so just talk to your florist about what's available and possible, and I'm sure you'll find something gorgeous and beautiful. If florals aren’t the star of your design, this is the time to get creative with rentals. Picture beautiful textured linens, metallic chargers, and statement tableware that elevate your tablescape.

Lighting

While we’re at it, let’s talk lighting. Winter days are short, and unless you’re planning a 10 a.m. brunch wedding, you’ll be relying on artificial lighting for most of the day. Use uplighting, string lights, candles, votives, and even chandeliers to create a warm, inviting glow that makes your space feel magical. Finally, let’s sprinkle in some guest-friendly details. Think blankets for outdoor photos, hand warmers if there’s a chill in the air, or even a hot cocoa or cider station for a fun, cozy touch. Not only do these elements make your guests feel taken care of, but they also add to the overall charm and personality of your day.

Wrap Up

And there you have it—everything you need to know about planning a winter wedding! At the end of the day, designing a winter wedding is about leaning into the season while staying true to your style. Whether you want it to feel like a cozy cabin getaway or a sleek, modern celebration, winter gives you so many opportunities to create something truly magical. Remember, the key is to embrace what winter has to offer while planning ahead for the unexpected. Whether you’re navigating icy roads, working with limited florals, or figuring out how to balance seasonal décor, every thoughtful choice adds to the experience for you and your guests.

Thank you so much for joining me today. Until next time, stay cozy, stay inspired, and happy planning.
