ASSOCIATE PLANNER

associate planner

As the Event Associate, you’ll support the lead planner in creating personalized, high-end wedding experiences for our clients. You’ll assist with logistical planning, client meetings, and vendor coordination, ensuring every detail is flawlessly executed.

Key Responsibilities:
  • Manage the life cycle of an event using our processes 
  • Track and update planning progress in Asana and Trello
  • Communicate with clients and vendors on a regular basis and in a timely manner
  • Update planning spreadsheets and manage event budgets in Google Sheets 
  • Attend client meetings and vendor walkthroughs
  • Coordinate contracts, payments, and logistics with vendors
  • Provide administrative support, including managing action items, scheduling, etc.
  • Other duties as assigned

Requirements:
  • Availability a minimum of 15-20 hours per week 
  • Organized and meticulously detailed-oriented
  • A self-starter able to work independently and take feedback and direction
  • You own your laptop and have reliable access to WiFi
  • Ability to problem-solve and think critically
  • Proficiency in Google Suite
  • Superior interpersonal, written, and verbal communication skills, as well as professional email etiquette
  • Ability to lift 40 lbs.
  • Ability to stand or be on your feet for long periods of time
  • Experience in event planning or hospitality
  • Excellent organizational and project management abilities with the ability to plan ahead
  • Excellent task and time management skills
  • Ability to remain calm under pressure and adapt to changes
  • Available to work select Thursdays, Fridays, and on weekends primarily during the spring, summer, and fall months

Our on-site coordinators assist the lead planner and assistant planners to ensure each event runs smoothly from start to finish. You'll work closely with vendors, manage schedules, and handle last-minute details to keep the day on track, allowing couples to enjoy their wedding stress-free.

Key Responsibilities:
  • Support the team from set-up to breakdown on event days, including steaming linens, folding napkins, setting up displays, and other tasks as assigned
  • Oversee vendors to ensure details are executed 
  • Manage event day-of tasks and resolve last-minute issues 
  • Interface with and assist wedding guests 

Requirements:
  • Previous experience in event coordination or hospitality
  • Ability to lift over 40 lbs
  • Ability to stand or be on your feet for long periods of time
  • Ability to multi-task, problem-solve, and think critically
  • Strong communication and problem-solving skills
  • Ability to remain calm under pressure and adapt to changes
  • Available to work select Thursdays, Fridays, and on weekends primarily during the spring, summer, and fall months
